Responsibilities:

  • Maintain professional communication and relationship management with global customers, charterers, vendors, ship managers, and regulatory authorities.
  • Oversee day-to-day coordination of group companies’ and owned vessels’ operations, including liaison with maritime authorities, charterers, vendors, and ship managers.
  • Issue vessel and project-related disbursements and manage payment processes with ship managers.
  • Prepare periodic operational, financial, and analytical reports as assigned by management.
  • Monitor contractual frameworks to ensure commercial feasibility, profitability, and compliance with contractual obligations.
  • Liaise with bankers and external financial auditors as required.
  • Coordinate with group companies and principals in Japan, including preparation of formal reports and business communications in Japanese.
  • Support senior management in day-to-day company operations, vessel rental and financing activities, sale and purchase of vessels, and negotiations with charterers.
  • Assist in establishing and monitoring vessel management budgets.
  • Conduct research and feasibility studies for new business or vessel-related projects.
  • Coordinate office administration and general affairs activities.
  • Liaise with technical management companies on vessel performance, maintenance, and operational matters.
  • Liaise with brokers, ship managers, flag authorities, and local authorities regarding vessel operations and statutory documentation.
  • Prepare and manage group-level financial and liquidity reports as directed.
  • Review, analyse, and monitor vessel budgets against actual expenditure, including variance analysis and cost control measures.
  • Monitor cash flow on vessel accounts and verify volume rebates where applicable.
  • Prepare monthly and quarterly management reports.
  • Develop finance department procedures, operational guidelines, and instructions for accounting processes.

Structured and supervised on-the-job training will be provided for candidates who may not be fully familiar with specific administrative requirements.

Requirements:

  • Minimum 3 years of relevant working experience in the maritime industry.
  • Proficiency in Japanese language (JLPT N1) for liaising with Japanese-speaking clients, principals, and group companies, including drafting formal reports and conducting business communications within a Japanese corporate context.
  • Proven experience in budget control, financial monitoring, and cost analysis.
  • Experience in building and maintaining strong relationships with customers, vendors, ship managers, and external stakeholders.
  • Strong communication, negotiation, and interpersonal skills.
  • Excellent time management skills with the ability to work effectively in a fast-paced environment.
  • Ability to manage multiple tasks with strong attention to detail.
  • Knowledge of vessel disbursement accounts or ship management documentation is an added advantage.
  • Experience in contract monitoring or legal framework review is an added advantage.
