Japanese Speaking Executive Secretary (1 year contract)

Responsibilities:
- Manage accounting documentation, including payment processing, expense calculations, disbursement preparation via accounting systems, and maintenance of accurate payment and receipt records.
- Coordinate business travel arrangements, including flight and accommodation bookings, airport transfers, and visa documentation in accordance with meeting schedules.
- Provide guest reception support and arrange business meals and related hospitality logistics.
- Deliver administrative and logistics support for internal and external business functions, events, and regional meetings, including transportation, accommodation, restaurant, and meeting room bookings.
- Oversee department assets and manage office supplies and miscellaneous items for the office.
- Maintain an organised administrative documentation system, ensuring proper record-keeping of confidential and important documents.
- Perform additional administrative duties as assigned.
Requirements:
- Minimum of two years’ experience in an administrative or office support role.
- Proficiency in MS Office applications and experience using accounting systems such as SAP is an added advantage.
- Proficiency in Japanese (JLPT N1 or business-level proficiency) for liaising with Japanese-speaking clients and stakeholders.
- Demonstrates a positive attitude, strong organisational skills, and a willingness to learn in a dynamic work environment.
